A Quality Checklist for Mailing Lists

Every day we receive mailing lists to process. Your lists go through our quality assurance checklist that covers these questions: |

Is the Mailing List the correct type of list? [Resident, resident plus, consumer, or specialty?]

Does the mailing list count match the quantity that was ordered?

Is the geography accurate? Is the list geography the one that was ordered? [Double check Zip Codes, States]
-
Are all the fields on the printout of the list “file layout” the ones that were ordered? [Name, address, list codes, etc.]

Is the appropriate information in all of the fields on the mailing list? Check to make sure the list fields are not “truncated” [i.e. name, address, city, state, Zip Code]
-
What does a “visual inspection” of the list show? In this pre-analysis, give the mailing list a quick once-over to see if anything “looks funny” [i.e., Are all numbers in the name fields? All letters in the address fields? Any strange characters in the name or address fields? Are apartment numbers on the list if they were ordered?
Case Study of a Successful Quality Check:
A client recently sent us a mailing list of 16,000 records, asking that we perform data “clean-up” services. When we visually checked the print-out of the list, some address fields were completely blank. Upon further analysis, 8,000 records had no address information; 50% of the mailing list was incorrect, before we performed any data clean-up service! We notified our client, which supplied a corrected list, and the job proceeded.

USPS RELEASES NEW RULES
While everyone is paying a penny more for First Class postage this month, the U.S. Postal Service has a number of changes pending that will go into effect in May 2009. Among them:
- Final rule for addressing flats - New standards are intended to increase readability and efficiency
- Proposal for intelligent mail barcodes
- Finalizing new rates
- Rules for competitive products
